Your brief. Your branding. Ready for your team.
Start your orderMartial arts clothing orders for Canadian clubs need a clear handover between the people collecting sizes and the people receiving the garments. A useful purchasing brief connects those tasks from the outset. Masswear Uniform manufactures to agreed requirements and coordinates enquiries through a dedicated production manager. Start with consistent records so your club can review the proposed order and check its contents when the shipment arrives.
Ask which measurements the selected garment needs, then agree the unit of measurement before circulating the collection sheet. Label every column explicitly. A number without centimetres or inches can introduce uncertainty, particularly when volunteers combine records from several training groups. Preserve the original entry when someone converts a figure and check any unexpected result with the wearer.
Distinguish body measurements from finished garment measurements. Your club should know which type the supplier requests and what fit allowance the proposed specification uses. For younger students, have a responsible adult help gather the requested information. Review age-based estimates before finalising the allocation; age alone does not establish jacket, trouser or sleeve dimensions.
Choose the products that fit your programme. Explore custom judo uniforms for a judogi enquiry and custom karate uniforms for a separate karate specification. Give each product and approved variation its own reference. Use that reference across the size sheet, artwork comments and quote review so everyone discusses the same item.
When your club also needs custom training rash guards, collect their fit details independently. A gi allocation cannot define a close-fitting top. Identify body length, sleeve preference and intended coverage with the required material questions. Link the wearer's items through an internal roster code rather than assuming matching labels mean matching dimensions.
If several groups share an order, identify which coordinator will receive each group's allocation. Decide whether one club address or another arrangement suits your purchasing plan, then ask which shipping options the quotation can support. Do not assume split packing or multiple destinations form part of the service. Make any packing request explicit and confirm it before approval.
Create your own distribution worksheet using the agreed product references and quantities. Keep names, if required, in a controlled club record. The manufacturing brief may only need a size allocation and artwork list. This separation helps your volunteers distribute clothing while limiting personal details that do not contribute to the garment specification.
Send the current logo file, wording and colour references with permission to use each element. If your club wants more than one language on a garment, provide the exact approved text and ask a competent reviewer to check it. Country targeting does not settle your club's language choice. Keep spelling decisions with the club rather than asking the manufacturer to infer them.
Free mockups support review of the visual proposal. Check the design at every relevant size or placement variation, then save the final artwork reference. A mockup approval should not replace confirmation of fabric composition, garment dimensions or care instructions. Give the receiving coordinator access to the approved specification so they know which details to check later.
Provide the full Canadian destination and any practical receiving instructions. Ask the quote to identify shipping charges, applicable taxes or other charges, currency and the parties responsible for import arrangements. Confirm the proposed schedule alongside the approval steps. Your requested club date helps explain priorities, but the supplier must confirm order-specific timing rather than a general country promise.
Review minimum quantities for each chosen product and any design variation. If your club wants reserve garments, show them explicitly instead of hiding them inside a total. Ask how changes after approval affect the proposal. This gives your coordinator a basis for discussing a revised allocation without assuming the initial price or schedule still applies.
Before arrival, prepare a checklist by product reference, size and quantity. Include the approved decoration version and the components the quotation names. On receipt, compare the delivered items with that record and note any question clearly. Keep photographs and identifying information for the supplier contact if the club needs to discuss an issue.
Review the supplied care guidance before distributing garments. Share the instructions that match the selected material and decoration rather than passing on habits from an older uniform. Request clarification where the proposed care advice leaves a practical question unanswered. Laundry performance claims need supporting confirmation; an attractive design alone cannot establish how an item behaves after washing.
Send the measurement convention, garment references and destination details through the club quotation form. A coordinated brief helps your purchasing and receiving volunteers work from the same agreed order record, with fewer decisions left to interpretation.
